Your email signature is free real estate. Here is how to turn it into a click-to-chat entry point in Gmail, Outlook, and Apple Mail β with the exact links and copy that actually get replies.
How to Add a WhatsApp Link to Your Email Signature (Gmail, Outlook, Apple Mail)
You already send email β quotes, invoices, support replies, follow-ups. Every one of them ends with a signature that does nothing while people read it.
A WhatsApp link in that signature changes the maths: the person on the other side taps once and lands in a chat with you, on their phone, in the app they check twenty times a day.
Why a WhatsApp link belongs in your signature
- Email is slow, chat is not. Email replies land in hours, WhatsApp replies in minutes β a signature link lets the customer pick the faster channel.
- No friction for the recipient. A
wa.melink opens the chat directly. They do not save your number or copy any digits. - It catches people who hate writing emails. Many customers will never draft three paragraphs, but they will send "Is this still available?" in ten seconds.
- It is free and it never expires. One link, added once, working on every message that account sends.
The trade-off: chats move off email, so you must actually check WhatsApp. If you are not ready to reply there, do not push people there.
Step 1 β Build the link before you touch your signature
A click-to-chat link has three parts:

Two details that break most signature links:
- Spaces and accents must be encoded. A raw space in an
hreftruncates the link and the message arrives empty. Use%20,%2C,%27. - Group and short links do not work here.
chat.whatsapp.cominvites andwa.me/message/XXXXlinks behave differently and can expire. Use a plain number-based link.

Step 2 β Add the link in Gmail
Gmail on desktop
- Open Gmail, click the gear icon, then See all settings.
- Stay on the General tab and scroll to Signature.
- Create or edit your signature. Type your CTA text, for example
Chat on WhatsApp. - Select that text with the mouse, then click the link icon (or press
Ctrl/Cmd + K). - Paste the
wa.meURL and confirm. - Scroll to the bottom and click Save Changes.
Want an icon instead of text? Paste the image into the editor, select it, and attach the link.
Gmail on mobile
The signature syncs from the web version, so you rarely need to touch the app. If you built it on your phone: Settings β your account β Signature, then add the link. The mobile editor is stricter about formatting, so check the desktop version afterwards.
Step 3 β Add the link in Outlook
New Outlook and Outlook on the web
- Settings (gear) β Accounts β Signatures.
- Create or select a signature, click Insert link in the toolbar.
- Paste the
wa.meURL, set the display text toChat on WhatsApp, and confirm.
Classic Outlook on Windows
- File β Options β Mail β Signatures.
- Write your line, select it, then Insert β Link (or
Ctrl + K). - Paste the URL, OK, then Save.
If you manage signatures centrally (common in Microsoft 365), the rule is the same: a real hyperlink attached to selected text, never a URL pasted inside a sentence. Server-side signature tools need the raw markup:

Step 4 β Add the link in Apple Mail
- iPhone / iPad: Settings β Mail β Signature, pick the account, then add the line. Simplest reliable trick: write the full
wa.meURL as plain text on its own line β iOS and WhatsApp both detect it and make it tappable. - macOS Mail: Mail β Settings β Signatures, then link the text with
Cmd + K.
A plain https://wa.me/34612345678 written as text is the most compatible fallback across older clients and webmail.

Five mistakes to avoid
- The
+and the leading zero.wa.me/+0034612345678fails. Only34612345678. - Not encoding the message. Raw spaces or accents break the link silently β the chat opens empty and you never discover why.
- Pasting the URL inside a sentence as plain text. Most clients will not link it. Select text and attach the link, or use an
tag. - Using a country-less number. Local formats only work for people in the same country.
- Pointing at a
wa.me/message/short link. It works until it does not; use the number-based link.
