WhatsApp Business Multiple Users: How to Put Your Whole Team on One Number (2026 Guide)

WhatsApp Business App allows 5 devices, Meta Verified raises it to 10 with chat assignment, and the API removes the limit. Compare all four routes, with the setup steps and the limits nobody mentions.

WhatsApp Business Multiple Users: How to Put Your Whole Team on One Number (2026 Guide)

You started alone: one phone, one WhatsApp Business number. Then you hired. Now two people answer from the same account, nobody knows who replied to whom, and a customer can get two contradictory answers five minutes apart.

WhatsApp lets several people share one business number. It ships four ways to do it, with four different ceilings β€” and businesses routinely pick the wrong one.

The short version

| Route | People on the number | Chat assignment | Cost |

| --- | --- | --- | --- |

| WhatsApp Business App + linked devices | 5 (1 phone + 4 linked) | No | Free |

| App + Meta Verified / Meta One | Up to 10 | Yes | Subscription |

| Coexistence (app + Cloud API) | Team inbox decides | Yes, in the inbox | Per in-app device limits + API message fees |

| Dedicated Cloud API number | Team inbox decides | Yes, with routing and roles | Message fees + platform fee |

Pick by your real question: how many people (app routes) or who answered what (API routes).

Route 1: linked devices on the free app

Most small businesses use this route; it is genuinely enough for four people.

On your WhatsApp Business app: Settings β†’ Linked devices β†’ Link a device, then scan the QR code from WhatsApp Web or the desktop app. Your colleague can now send and receive on their own laptop or phone, using your number. Repeat up to four times β€” five people on one number, no monthly cost, identical features everywhere.

What you don't get:

  • No assignment. There is no way to mark a chat as someone's responsibility.
  • No collision prevention. Two agents can answer the same customer in the same minute and never notice.
  • No record of who replied. The customer sees one business. So do you.

Three caveats that surprise people:

  • WhatsApp asks you to open the app on the primary phone at least once every 14 days, or linked devices get disconnected.
  • A linked device unused for 30 days is unlinked automatically.
  • Once you pass four linked devices, incoming calls only ring on the primary phone.

If your team answers a shared queue β€” orders, support, bookings all landing in one inbox β€” this route will fail you. Different customers, different people, and it holds fine.

Route 2: Meta Verified adds multi-agent

A Meta Verified or Meta One subscription raises the ceiling from four linked devices to ten, and unlocks what WhatsApp calls multi-agent.

On top of more devices you get:

  • Named devices. The linked device shows the agent's name instead of "Chrome on Windows".
  • Chat assignment. Long-press a chat β†’ Assign chat β†’ pick an agent. Assigned chats appear under "Assigned to you".
  • Attribution. See which agent and which device sent a message.

Customers never see the assignment or the agent name β€” it is internal only.

Two things to plan for. WhatsApp notes the premium multi-agent version may not be live on every account yet, so test before buying seats. And if you cancel the subscription, only the four most recently active devices stay linked β€” six agents on ten devices lose access overnight.

Route 3: coexistence β€” app and API on the same number

Coexistence keeps your number on the WhatsApp Business app while also connecting it to the Cloud API. Messages are mirrored: your phone works as before, and everything also lands in a shared team inbox.

This is the usual path for a business that already runs on the app and does not want to give up its number or its habits. You get what the app cannot do alone β€” conversation ownership, internal notes, history that survives a phone change, and reporting β€” without retraining anyone.

The trade-off is paying API message fees for messages you initiate outside the free 24-hour service window. Fine for high-intent flows like cart recovery or win-back, expensive for broad promotional broadcasts. The maths are in the messaging limits guide.

Route 4: dedicated Cloud API number

The number lives only on the API, with no app installed on it. Everything happens in inbox software: routing, ownership, notes, permissions. Because nothing bypasses the workflow, this is the route when support or sales runs as an operation rather than a phone somebody answers β€” agent counts are limited by your inbox plan, not by WhatsApp.

The catch: offboarding is cleaner (deactivate the account, reassign conversations, threads and notes preserved), but you can no longer answer customers from your personal phone in a pinch.

What stays the same on every route

One number, one identity. Customers message one number and see one business profile β€” same catalog, hours, and quick replies on all four routes. They never have to save your number: a click-to-chat link or QR code opens the conversation directly (unsaved contacts guide). Speed is still the differentiator. Adding agents helps only if the first answer arrives fast. Set up quick replies and away messages before onboarding anyone, then measure against the response time guide.

A practical rollout for a 3–5 person team

  • Link devices on the free app first. Get everyone answering before you buy anything.
  • Write three quick replies for your most common answers, saved on the primary phone.
  • Agree the handover rule out loud. Still the cheapest collision prevention: whoever answers signs off with their first name.
  • Count collisions after two weeks. More than a few double-replies a week means you have outgrown linked devices β€” then choose Meta Verified for ten named agents, coexistence for a real inbox without changing number, or a dedicated API number if WhatsApp is now an operation.

Automating the repetitive part is a separate decision β€” start with narrow, purpose-built replies rather than an open-ended assistant, as covered in the chatbot guide.

FAQ

Can two people use the same WhatsApp Business number at the same time? Yes. On the app via linked devices; on the API via individual logins in a team inbox. What is the maximum number of devices on the WhatsApp Business app? One primary phone plus four linked devices free, or up to ten with a Meta Verified / Meta One subscription. Can I see which employee replied to a customer? Only with multi-agent (subscription) or on API routes. On plain linked devices, no β€” and customers never see it either. What happens if my primary phone is offline? Linked devices keep working; you just need the primary phone again within 14 days.

Bottom line

Free linked devices cover most teams of five or fewer who handle their own customers. Buy Meta Verified when you need up to ten agents and want to see who answered what. Move to coexistence or a dedicated API number the moment the bottleneck stops being headcount and becomes coordination.
