A customer buys at 21:40, hears nothing for two days, then messages: "where is my order?" β€” and now you owe them an apology, a tracking number, and a promise.

Order updates are the least glamorous messages on WhatsApp and the ones customers genuinely wait for. They are also the cheapest to send, the easiest to automate, and the only category where people thank you for messaging them.

Why order updates belong on WhatsApp

Three reasons, and none of them is "marketing":

  • They get read. A WhatsApp message is opened within minutes; an order confirmation email hidden in a promotions tab is opened by a minority of buyers.
  • They remove support work. Every tracking update you send proactively deletes an inbound "where is my order?" ticket. That is the single largest support category in ecommerce.
  • They are cheap on the API. Order confirmations, shipping notices and delivery updates are utility messages β€” the cheapest template category β€” and utility templates delivered inside an open customer service window have been free since November 2024.

Most stores end up combining the second and third rows. Here is how each one works.

Route 1: manual updates from the WhatsApp Business app

The free app cannot watch your webshop: there is no rule engine that says "order #1042 shipped β†’ send message". You send updates by hand, or not at all.

Where the app is still useful: quick replies. Save your confirmation and shipping texts as quick replies on the primary phone and paste them into the conversation when the order is manually processed. Route 2: automated utility templates via the API

Your shop fires an event (order paid, parcel handed to courier, delivered), your integration sends the approved template, the customer gets the update. That is the whole flow:

The practical rule: send the confirmation as a utility template, then invite a reply. Once the customer replies, every follow-up inside the next 24 hours is free.

Route 3: let the customer ask first β€” for free

Inbound beats outbound on every axis: no template approval, no per-message fee, and a free 24-hour window the moment the customer writes to you.

The apology message is the one template everybody needs and nobody writes until a courier fails. Prepare it now: name the new delivery date, offer the option to cancel, two sentences.

Personalisation and formatting rules

  • Name, order number and tracking link are the minimum. An update without the order number creates a support ticket instead of preventing one.
  • Use your own domain for tracking links. Shorteners and lookalike domains are a bad signal for both the customer and Meta's systems.
  • Respect the formatting rules. Bold and line breaks are what make a template scannable on a phone screen β€” check them with the Message Formatter before you submit.
